AustCham Shanghai seeks a Shanghai World Expo & Project Co-ordinator

THE OPPORTUNITY
AustCham Shanghai seeks a suitably qualified and experienced, exceptional individual to co-ordinate activities and communications related to Shanghai World Expo 2010, Australia China Business Awards 2010, and other AustCham Shanghai key projects. This rewarding and demanding opportunity will be available in February/March 2010 for 1 year period with the potential of an extension of contract.

During this period in 2010, the strong annual events calendar includes partnering with the Australian Pavilion for events at World Expo Shanghai, and preparation for the Australia-China Business Awards 2010 to be held in Shanghai for the first time.

THE SHANGHAI WORLD EXPO & PROJECT CO-ORDINATOR ROLE
The full-time Co-ordinator role, working flexible and often extended hours, reports directly to the Executive Director and working closely with the Events and Marketing Manager. This challenging role encompasses all aspects of managing the delivering of the MOU between AustCham Shanghai & DFAT, co-ordination of key AustCham Shanghai events to be held in the Australian Pavilion, leveraging opportunities for members through the expo and answering enquiries and co-ordinating communication related to Expo. You will be part of a Shanghai permanent full-time Secretariat and its strong professional team of seven, delivering exceptional benefits and membership value year-round to over 300 active corporate members.

  • Prefable but not essential, the ability to communicate clearly in written and oral Chinese and English to a professional standard.
  • Strong skills in using computer software solutions for project management and business activities (including excel, PowerPoint, word).
  • Experience in Website Management prefable
  • Good inter-personal skill as well as good team work spirit, willingness to learn and a high personal energy level

GENERAL RESPONSIBILITIES OF THIS ROLE

Shanghai World Expo

  • Creating and scheduling AustCham Shanghai Expo events in the Australian Pavilion including logistics, marketing, event co-ordination and communication
  • Provide through AustCham Shanghai communication platform regular information updates and staff briefings on  activities and opportunities available during the 2010 Shanghai World Expo program, including providing information dissemination through AustCham Shanghai's internet and external website;
  • working with the expo pavilion team to ensure proper venue management, catering, venue set-up and format including speakers or special guests and entertainment;
  • Co-ordinate Media and Communications of AustCham Shanghai's activities during the Shanghai World Expo
  • represent AustCham Shanghai membership interests proactively and effectively
  • liaise with government authorities and organizations both Chinese and Australian, with senior corporate executives, with peer-group organizations, with all levels of membership and the Australia-China business and local communities
  • demonstrate a high standard of personal ethical responsibility in the work environment, encouraging high morale, professionalism and best practice at all times equitably across the organisation
  • working independently on a range of other project and client tasks as requested from Executive Director
  • Provide events and project support assistance to the Events and Marketing Manager through-out AustCham's calendar of events in Shanghai during world expo in 2010 to ensure the smooth co-ordination of the entire program including representing AustCham Shanghai at our own events

ACBA  (Australian China Business Awards) 2010

  • Co-ordinate timeline and delivery of the Australia China Business Awards 2010 to be hosted in Shanghai
  • Act in a highly responsive manner to applicants needs and queries from potential ACBA applicants
  • Document co-ordination of ACBA applicants
  • Website management of the ACBA 2010 application process and promotion
  • Work closely and manage judging panel, arrange interviews, screening of applications and co-ordinate timeline of delivery of awards
  • Arrange Media and Communications related to awards including press conference to be held in the Australian Pavilion at the Shanghai World Expo in October 2010
  • Work closely with Events & Marketing Manager and Membership & Sponsorship Manager in delivery of sponsorship commitments
  • Co-ordination and communication with other AustCham's in China, Hong Kong and ACBC in Australia, State & Government territories and Austrade
  • Co-ordinate review and feedback for applicants and the ACBA process

Other Projects

  • Other projects will be involved at the direction of Executive Director and assistance in the development of AustCham Shanghai's active Industry Working Groups.
